Enquio is a front-desk service for independent tradespeople and other small service businesses. It replies to customer enquiries, collects job details and books work into the owner's calendar. This page explains, in plain English, what personal information is involved and what happens to it.

Two different roles
We are the controller of information about the business owners and staff who use Enquio, and about people who join the pilot waiting list. For the customers of those businesses, the business is the controller and we are its processor: we handle their enquiries only to provide the service and only on the business's instructions. If you are a customer of a business that uses Enquio, please contact that business first about your information.

We do not sell personal information, use it for advertising, or build marketing profiles from it.
Which emails we read
By default Enquio looks at new emails that arrive in the connected inbox from the moment it is connected. It does not go through older mail. Anything that is plainly not a customer writing to the business — newsletters, receipts, notifications, automated mail, and anything Gmail has already sorted into Promotions, Social or Updates — is filtered out by simple rules before any further processing; for those we keep only the sender and subject line so we do not look at the same email twice. The rest is read once to decide whether it is an enquiry. If it is not, the conversation is deleted straight away and leaves no record. Owners who prefer can switch to label mode in the app, where Enquio reads only emails they have labelled Enquio.
Photos a customer attaches are stored so the business owner can see what the job involves. They are shown only to the business, are never sent to the language-processing service (it is told only how many photos arrived), and are deleted after 90 days.
How enquiries are handled
When an enquiry arrives, our software reads it to work out what the customer is asking for, then drafts a reply. Prices, available times and what the business will and won't take on come from the owner's own settings, not from the software's guesswork. During the pilot, the owner approves every reply before it is sent. Nothing about an enquiry is decided solely by automated means in a way that has legal or similarly significant effects on anyone: the owner can always override it.
To do this, the text of the conversation (never the photos) is sent for processing to Anthropic, which provides the language-processing service we use (see below). Under Anthropic's commercial terms, that data is not used to train its models. Enquio may also send the owner short alerts and reminders about enquiries, and customers short follow-ups such as a reminder the day before a job; all of these go from the owner's own email account and follow the owner's settings, and customers can ask to stop at any time.
Calendar feed. An owner can create a private calendar link showing their Enquio bookings on their phone. It contains customers' first names, the service and the town only, never contact details, and the owner can replace or switch it off at any time.
Google data
Enquio's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In plain terms: Google user data is used only to provide the features described above; it is not used to train AI models, not used for advertising, not sold, and not shared with anyone except the service providers listed below as needed to run the service, where required by law, or with your permission. People at Enquio do not read your mail; our support tools do not display message content.

They act on our instructions and may not use the information for their own purposes. Some of them are based outside the UK, so information can be transferred internationally; where that happens we rely on the UK-approved safeguards those providers offer.
How we keep it safe
- Connection tokens (for Google) are encrypted in our database and are never shown in the app or the API.
- Each business can only see its own information.
- Sign-in uses a one-time code sent to your email; there are no passwords to steal.
- Access to our administration tools is limited to named people, protected by a second layer of sign-in, and recorded.
- Replies only leave after the owner approves them.
No system is perfectly secure. If there is a breach that puts people at risk we will tell the affected businesses and, where required, the Information Commissioner's Office without undue delay.
Cookies and tracking
This website does not use advertising or analytics cookies. The app keeps a sign-in token in your browser for as long as the tab is open, which is needed for you to stay signed in. Our security provider may set strictly necessary cookies to protect the site.
How long we keep it
- Waiting-list email: until the pilot is over or you ask us to delete it.
- Business accounts and enquiry records: while the account is active. When an account is closed we delete its data within 30 days, apart from anything we are legally required to keep.
- Google connection: until you disconnect it in the app (we then revoke access and delete our stored token) or close your account.
- Photos of jobs: 90 days.
- Mail filtered out as not an enquiry: sender and subject only, kept alongside the account's enquiry records; no content.
Your rights
Under UK data protection law you can ask us for a copy of your information, to correct it, to delete it, to restrict or object to how it is used, and to receive it in a portable format. Business owners can export their data from the app and disconnect Google at any time. To use any of these rights, email [email protected]; we will reply within one month. If you are not happy with our answer you can complain to the Information Commissioner's Office at ico.org.uk.
Data we use to work out your area
Enquio matches a town or postcode to a place so it can tell whether a customer is inside your service area. The list of UK place names and postcode areas it uses comes from GeoNames, licensed under Creative Commons Attribution 4.0. The matching runs on our own server, so the town or postcode a customer gives is not sent to a map or address service for this.
Changes
If we change this page in a way that matters, we will update the date at the top and tell business owners by email.
